1. Overview

SpeechPath.AI ("SpeechPath," "we," "us") provides practice-management software for speech-language pathologists. This policy explains what information we collect, how we use it, and the choices you have. It applies to our website and the SpeechPath.AI application.

2. Information we collect

Account data — your name, professional title, certifications, email, and contact details that you provide when registering or updating your profile.

Practice data — patient records, session notes, assessments, schedules, documents, and other clinical information you enter to run your practice. You are the controller of this data; we process it on your behalf.

Usage data — basic logs needed to operate, secure, and improve the service (for example, sign-in timestamps and feature usage counts).

3. How we use information

We use your information to provide and maintain the service, authenticate you, generate the AI assistance you request, meter usage against your plan, and keep the platform secure. We do not sell your data, and we do not use your patient data to train third-party AI models.

4. Protected health information & AI

Before any text is sent to an AI model, identifiers such as patient and guardian names, phone numbers, and email addresses are removed by a reversible redaction layer and restored only in the response you see — the model never receives them in the clear. Every access to protected health information is recorded in an append-only audit trail available to you in the app.

5. Data sharing

We share data only with infrastructure and AI sub-processors strictly necessary to run the service (for example, cloud hosting and the AI model provider), each bound by confidentiality and data-protection obligations. We may disclose information if required by law.

6. Data retention & deletion

We retain your data for as long as your account is active. You may delete records within the app (soft-deleted items are recoverable from Trash until permanently removed), and you may request full account deletion, after which we erase your data from production systems.

7. Your rights

Depending on your jurisdiction, you may have rights to access, correct, export, or delete your personal data. You can export your data and exercise these rights by contacting us at the address below.

8. Security

We protect data with encryption in transit, scoped per-therapist access controls, PII redaction before AI calls, and audit logging. No system is perfectly secure, but we work continuously to safeguard the information entrusted to us.

9. Changes to this policy

We may update this policy from time to time. Material changes will be reflected by the "last updated" date above and, where appropriate, communicated in the app.
